Free Move-In / Move-Out Checklist (Fillable PDF)

For tenants and landlords doing a walk-through at the start and end of a tenancy.

Write the condition of each area on the day you move in and both sign it. On the day you leave, fill the second column the same way. A dated record like this makes any conversation about the deposit much easier.

What's on the form

  • Property address, unit, tenant names, landlord or agent, move-in and move-out dates
  • 16 areas, from walls and floors to appliances, bathrooms, alarms and outdoor space, each with a move-in and a move-out condition box
  • Keys and remotes handed over and returned
  • Meter readings at move-in and move-out
  • Tenant and landlord signatures and dates, at move-in and at move-out

How to fill in the move-in / move-out checklist

  1. Click Fill online free, or download the blank PDF to fill in on a tablet as you walk round.
  2. Go room by room and write what you actually see. Take dated photos of anything damaged or worn.
  3. Both sign the move-in rows and each keep a copy.
  4. At move-out, open your saved copy in Fill PDF Forms: the move-in answers are still there, so you only fill the move-out column and sign again.

Questions

What should I write in the condition boxes?

Specific facts, not "OK". For example "Carpet: 5 cm stain by the window" or "Oven: 2 of 4 burners work". Short and specific is easier to compare at move-out.

Should I take photos as well?

Yes. Photos and this checklist support each other. You can turn photos into a PDF with JPG to PDF and add them after the checklist with Merge PDF.

My home has a room that isn't listed.

Use the closest row, for example "Bedroom 2" for a study, and say which room it is in the box. The Closets and Outdoor rows work for storage rooms, garages and balconies.

Does this replace the landlord's own inventory?

No. If your landlord or agent gives you an inventory or check-in report, read and sign that too. This checklist is your own record alongside it.
