An ODS spreadsheet needs print decisions before it becomes a PDF
ODS stores editable cells, formulas, charts and sheet settings. PDF stores fixed pages. The converter renders the values currently displayed in the workbook, so formulas no longer recalculate and filters or hidden rows cannot be changed by the recipient. That makes the PDF suitable for an approved report, invoice or record;but only after the spreadsheet itself shows the intended results.
Open the ODS file in LibreOffice Calc or OpenOffice Calc and recalculate it before upload. Confirm that linked data is current, hidden sheets are intentional and dates use the expected locale. A conversion service cannot refresh a source system that is unavailable or decide whether a hidden row should be disclosed.
Set print area, orientation and scaling in the source
Wide ledgers often fail at the page-design stage rather than during conversion. Define the print range, choose portrait or landscape orientation and use a fit-to-width setting that keeps text legible. Set repeating header rows for tables that continue across pages, and insert manual page breaks when a subtotal must stay with its label.
If the workbook contains several sheets, check the saved print settings for each one. One landscape summary and one portrait detail sheet can coexist, but each needs its own readable scale.
Verify formulas, charts and fonts in the resulting PDF
Compare at least one formula result, date, percentage and long identifier with the ODS source. Leading zeros and scientific notation should be inspected carefully. Review charts for clipped legends and confirm that non-standard fonts have not changed column widths or page breaks.
The PDF is a snapshot, not a working spreadsheet. Keep the ODS master for calculations and use Excel to PDF only when the source is XLS or XLSX. If a recipient needs editable data extracted from an existing PDF, PDF to Excel serves the opposite workflow.
Package and deliver the final spreadsheet report
Use Compress PDF after visual review when image-heavy charts make the file too large. Use Merge PDF when the spreadsheet output belongs behind a cover memo or supporting documents. Always preserve an untouched ODS source alongside the issued PDF so later corrections are made to the calculations rather than painted over on a page.
